This guide covers writing mail in FiniteHost Mail, from a quick reply to a fully formatted message with attachments. Sending later, undo and the Outbox have their own guide: Undo, schedule and Outbox.
Before you start#
- Optional: set up your signature first (Webmail settings), so it is added to every new message.
Write a new message#
- Click Compose in the sidebar, New email on the ribbon, or press c.
- From shows your mailbox address. You always send as the mailbox you are signed in to.
- In To, start typing a name or address. Suggestions come from your contacts, colleagues on your domain, people you have written to before and your contact groups. Press Enter or click a suggestion. Separate several addresses with commas.
- Click Cc or Bcc to add those lines. Use Bcc when recipients should not see each other's addresses.
- Type a Subject.
- Write the message in the large box. Your signature is already at the bottom.
- Click Send or press Ctrl+Enter (Cmd+Enter on a Mac).
After you click Send, a bar at the bottom says "Sending…" with an Undo button for a few seconds. Click Undo to stop the message and keep editing.
The compose window#
| Control | What it does |
|---|---|
| – (top right) | Minimise the window to keep reading mail while you write. |
| ↗ | Full-screen compose, with all toolbars shown. |
| × | Save the draft and close. |
| T (bottom) | Show or hide the formatting toolbar. |
| Paper clip | Attach files. |
| Link | Insert a link with your own text. |
| Smiley | Insert an emoji. |
| Picture | Insert an image into the message body. |
| ⋮ More | Open full editor, Plain text mode, Print. |
| Bin (bottom right) | Discard the draft. |
Right-click inside the compose window for the same tools in a menu, plus Advanced mail options (Receipts, priority and confidential mail).
Format your text#
Click T to open the formatting toolbar. Select text first, then click:
- Undo and Redo.
- Font family (Sans Serif and others), Size (Small, Normal, Large, Huge) and Line spacing (1.2 to 2.0).
- Bold, italic, underline, strikethrough, and text and background colour.
- Align left, centre, right or justify; numbered and bulleted lists; decrease and increase indent.
- Superscript, subscript, quote, and clear formatting.
- Insert table: choose rows (up to 12) and columns (up to 8).
- Canvas drawing: draw or annotate with a pen, eraser, colour and brush size, then Insert drawing to add it as an image.
Attach files#
- Click the paper clip and choose one or more files (hold Ctrl or Cmd to pick several).
- A progress bar shows the upload. Each file appears under the message with its size.
- Remove a file with the × next to it.
Limits in webmail: 10 MB per file and 15 MB for all attachments together. For bigger files, share a download link. See Limits and policies.
Insert images#
Click the picture button to place an image inside the message, where the cursor is. Use the paper clip instead if the recipient should get the image as a separate file.
Reply and forward#
Open a message, then:
- Reply (or key R, capital) answers the sender.
- Reply all answers the sender and everyone in To and Cc.
- Forward (or key F, capital) sends the message, with its attachments, to someone new.
When replying, webmail may offer quick replies above the message, such as "That time works for me." Click one to insert it, then edit as you like. Replies also offer Send & archive, which sends and moves the original out of your inbox in one step.
Drafts#
- Webmail saves your message as a draft automatically every few seconds while you type, in the Drafts folder.
- × saves and closes. Open Drafts and click the draft to continue.
- If your session ends while you write, the text is also kept in this browser and offered back the next time you open Compose.
- Drafts are on the server, so a draft started in webmail also appears in mail apps' Drafts folder.
Signatures#
Your signature from Manage profile is added automatically to new messages. To change it, see Webmail settings. With several mailboxes signed in, each can have its own signature.
Templates and snippets#
Save time on messages you send often.
Templates (whole messages)#
- Write the message with its subject.
- Click Save template in the bar above the message.
- Next time, click Templates and choose it; the subject and body are filled in.
Manage templates from the command palette (Ctrl+K → "Templates"). Templates are saved with your mailbox, so they are available in any browser.
Snippets (reusable pieces of text)#
- Click Snippets and save a piece of text, for example your bank details or a standard closing.
- Snippets can contain placeholders in double braces, such as
{{name}}or{{date}}.{{email}},{{name}},{{first_name}},{{date}}and{{time}}are filled automatically; for anything else webmail asks you for the value when you insert it. - To insert, place the cursor and click Snippets → the snippet.
Snippets are stored in this browser.
Contact groups#
Type a contact group's name in To to add all its members at once. See Contacts, groups and directory.
Troubleshooting#
| Problem | Fix |
|---|---|
| "Attachment too large" | Each file must be under 10 MB and all files together under 15 MB. Share a link instead. |
| The message went to the Outbox | Sending failed temporarily. Webmail retries automatically; see Undo, schedule and Outbox. |
| "Sender address rejected" | You can only send as the mailbox you are signed in to. Switch mailbox with the avatar menu. |
| Signature missing | Set it in Manage profile → Signature and save. It applies to new messages. |
| Formatting looks different for the recipient | Their mail app may not support all styles. Simple formatting travels best. |
| I closed the window and lost my text | Open Drafts, or open Compose again: webmail offers to restore unsent text. |
