A tidy inbox is one where every message is either dealt with or deliberately kept for later. FiniteHost Mail gives you the tools of a desktop mail program for that. This guide goes from the basics (archive, delete, star) to labels, snooze, follow-ups and quick steps.

Before you start#

Sign in to webmail. Most actions work three ways: the ribbon, the hover buttons on a message row, and the right-click menu. Select several messages with their checkboxes to act on all of them at once.

Archive, delete and junk#

ActionHowWhere the message goes
ArchiveRibbon Archive, hover button, or key eArchive folder. Out of the inbox, still searchable.
DeleteRibbon Delete, hover button, or # / Delete keyTrash folder.
Delete foreverIn Trash: right-click → Delete foreverRemoved from the server.
Empty TrashOpen Trash → Folder tab → Empty trashEverything in Trash is removed from the server.
JunkRibbon Junk or right-click → Mark as spamSpam folder.

After archiving, deleting or moving, a short Undo appears at the bottom of the screen. Click it to put the message back.

Read and unread#

  • Click Read / Unread on the ribbon, or right-click → Mark read / Mark unread.
  • View → Mark all read marks the whole current folder as read.

Star (flag) important messages#

Click the star on a message row, press s, or click Flag on the ribbon. Starred messages show a yellow star and can be found with the search is:starred. Stars sync to mail apps as "flagged".

Labels#

Labels are coloured tags. A message can have several labels, and labels work like folders that overlap: an invoice can be both "Vendors" and "Accounts".

Create a label#

  1. In the sidebar under Labels, click New label (or Folder tab → New label).
  2. Type a name, for example Vendors, and confirm.

Apply a label#

  1. Select one or more messages.
  2. Click Categorize on the ribbon (or right-click → Apply label) and choose the label.

The label appears as a coloured pill next to the sender.

Rename, recolour or delete a label#

Click the small edit button next to the label in the sidebar, then type rename, color or delete. A colour is a hex code such as #2f7d5b. Deleting a label removes it from every message; the messages themselves stay.

Snooze#

Snooze hides a message until a time you choose, then puts it back in your inbox as new.

  1. Hover over the message and click the clock, or right-click → Snooze….
  2. Choose Later today, Tomorrow, This weekend, Next week, or Pick date & time.
  3. The message moves to the Snoozed folder. To bring it back early, open Snoozed, right-click it → Unsnooze now.

Flag for follow-up#

A follow-up is a reminder attached to a message, for example "reply to Meera by Friday".

  1. Right-click the message → Flag for follow-up….
  2. Choose Today, Tomorrow, Next week, Pick date & time, or Flag only, no reminder.
  3. A flag icon appears on the message; it turns to "overdue" when the time has passed.
  4. See all follow-ups with Follow-ups on the ribbon. Clear one with right-click → Clear follow-up.

Pin to top#

Right-click → Pin to top keeps a message at the top of the list, for example a reference you need all week. Unpin removes it.

VIP senders#

Right-click a message → Mark sender as VIP. Mail from that address gets a star in front of the sender's name, so it stands out in a busy inbox. Remove sender from VIP undoes it.

Sweep a sender#

Clean out a noisy sender in one step:

  1. Right-click any message from that sender → Sweep from sender….
  2. Webmail counts their messages in the current folder.
  3. Choose Archive all, Mark all read or Move all to Trash.

To handle that sender's future mail automatically, create a rule (Rules and filters).

Quick steps#

Quick steps run several actions with one click. Two come ready-made on the ribbon's Home tab:

  • Done: mark as read and archive.
  • Read & delete: mark as read and move to Trash.

Create your own#

  1. Click Manage in the Quick steps group.
  2. Enter a Quick step name, for example "Vendor filed".
  3. Tick the actions: Mark as read, Mark as unread, Apply label, Move to folder, Archive, Move to Junk, Delete.
  4. Save. The first four quick steps appear on the ribbon.

Quick steps are stored in this browser. On another computer, create them again.

Density and layout#

View → Compact fits more messages on screen; Comfortable gives more space. Hide folders gives the list and message more room.
