Contacts, groups and the directory

Keep an address book in webmail, email a whole team with contact groups, and find colleagues on your domain in the directory.

FiniteHost Mail has three places that know people: your contacts (address book), contact groups (named lists you can email at once) and the directory (colleagues on your own domain). All three feed the suggestions you see when you type in the To field.

Before you start#

Sign in to webmail.

Contacts#

Add a contact#

  1. Click Contacts on the ribbon (Home → Find).
  2. Fill in Name, Email (required), Phone and Company. Optionally add a photo.
  3. Click Add contact.

Find, edit or remove a contact#

  • Type in Search contacts to filter the list.
  • Click Edit next to a contact, change the details and click Update contact.
  • Click Delete to remove a contact. This does not affect any mail.

Where suggestions come from#

When you type in To, Cc or Bcc, webmail suggests matches from your contacts first, then colleagues in the directory, contact groups, and people you have sent mail to before. You do not need to add everyone you write to as a contact; they appear in suggestions after your first message.

Contacts are stored with your mailbox in webmail and are available in any browser. They are not synced to the address book on your phone or in Outlook.

Contact groups#

A group is a named list of addresses, for example "Design team" or "All branch managers".

Create a group#

  1. Click Groups on the ribbon.
  2. Enter a Group name, for example Design team.
  3. In Members, add one address per line or separate them with commas. Names are allowed: Ravi Kumar <ravi@acme.in>.
  4. Save.

Email a group#

  • Type the group's name in To; the suggestion expands into all its members.
  • Or open Groups and click Compose to group next to it.

Edit or delete a group from the same panel.

The directory#

The directory lists the people with a FiniteHost mailbox on your domain. Everyone signed in at @acme.in sees their @acme.in colleagues, and nobody outside your domain sees them.

  1. Click Directory on the ribbon.
  2. Type in Search people by name, email, or domain.
  3. Click Copy address, or Add to contacts to save the person in your own contacts.

A colleague appears in the directory after they have signed in to webmail at least once. Names and photos come from each person's own profile (Webmail settings), so ask colleagues to fill in their display name.

Troubleshooting#
